Job Title: Legal Assistant
 
Job Type: Full-Time (non-exempt)
 
Pay: $22.00 - $28.00 per hour DOE
 
Expected Hours: 40 per week
 
Education: Minimum of High School + 1-year post-secondary (or secretarial or word-processing training).
 
Supervision Received: Firm Administrator, Designated Attorney(s)
 
Supervision Given: None
 
Job Summary:
Responsible for document preparation using in-house software programs for designated attorneys and paralegals, scheduling appointments for designated attorneys, document revision, copying, mailing, filing, and daily maintenance of files both physical and electronic.
 
Job Duties:
1.   Obtains and prioritizes word processing work based on the nature and established deadline for the work rather than the status of the author.

2.   Processes documents from hard copy or handwritten drafts, and makes revisions as directed. Creates pleadings, documents, correspondence, etc. as directed. Transcribes documents as needed.

3.   Maintains both physical and electronic calendars of appointments for designated attorneys.

4.   Assists with preparations for client and expert meetings, as well as trials and hearings.

5.   Processes incoming mail for designated attorneys and diary appropriate appointments and calendar dates.

6.   Schedules and confirms appointments with clients, court, and others as directed. Schedules conference rooms, court reporters, hearings, depositions, etc. as directed.

7.   Collates final work product for mailing.

8.   Copies work product in preparation for mailing, if needed.

9.   Mails or posts, if needed, outgoing documents, FedEx, or other. Serves documents using 3rd party vendors, as may be needed.

10. Maintains physical files, setting up new files, inserting documents into and retrieving documents from the file, maintaining order in the file, tabbing sub-files and presenting files to the business office for closure when case has settled.

11. Takes phone messages for assigned attorneys and paralegals when they are not available.

12. Maintains proficiency in office operating systems and equipment.

13. Provides general office support in Long Prairie to include covering front desk, mail, and facilities support as directed.

14. Operates as a team player and assists paralegals, other assistants, temporary employees, receptionist, and other staff as needed.

15. Other duties as may be assigned.
