Service Coordinator

We are looking for a Service Coordinator to join our maintenance team. This role will be responsible for the day-to-day coordination of the field maintenance team and processing of incoming service requests through to the billing stage. The ideal candidate will ensure our team has the best information and details available to complete their tasks within budget and deadline.
Our tenants and clients are our highest priority - we aim for a same day response. The goal of this position will be to ensure the maintenance operations are managed with urgency and efficiency in meeting those commitments.
• Day to day scheduling and coordination of field maintenance team, including related administrative tasks: work orders, purchase orders, labor time review, billings, invoicing review, and approval
• First point of contact for tenant and maintenance repair requests. Maintain ongoing tenant/client communications, respond, and follow up to issues with exceptional service
• Assist in preparation of annual CAM budgets, manage expenses to operate within budgets
• Maintain detailed understanding of lease terms and responsibilities in order to assign costs accurately
• Manage preventative maintenance and life safety inspection schedules
• Maintain maintenance logs, reports, and records, including fleet vehicle records
• Coordination, monitoring and evaluation of third-party subcontractors and vendors
• Involvement in small project management tasks (developing scope, obtaining bids, etc.)

• General understanding of basic plumbing, carpentry, electrical, mechanical systems, etc.
• Exceptional customer service, communication, and interpersonal skills
• High attention to detail, ability to stay organized and adapt to changing priorities
• Intermediate to advanced computer skills, specifically in Excel. Previous experience in Sage 300 CRE or other ERM/related software is preferred
• Understanding and comprehension of business process flow, accounting concepts and principles is highly preferred
• Ability to read and understand basic terms of lease agreements and other legal contracts
• Self-motivating, able to work and think independently as a leader and valued contributor

• High school diploma or equivalent; degree from a vocational school or BS/BA in business administration or related field is highly preferred
• 2+ years of demonstrated work experience in related position or field
